ezyFAX Setup & Use

If you don’t already have Adobe Acrobat Professional installed on your PC, you’ll need some software that will enable you to turn electronic documents into PDF files. Bear in mind Adobe Acrobat Professional is a very different program to Adobe Reader. The Pro version lets you create and edit PDF files, while the Reader lets you do only that .. read them. So be sure which version you have installed before you make any assumptions.

If you don’t have Adobe Acrobat Professional installed, you’ll need some alternative software to convert your documents into PDFs.

There's lots of programs that are freely available, but if you're using Microsoft Office 2010, the ability to save as a PDF is now native. However, if you're using Office 2007, you'll need a Microsoft-supplied plugin available here. It's the “Save As PDF” plugin for Office 2007.

Install it following the usual steps when installing software. This should be a simple process with only a handful of steps, as it’s a tiny installable.

Once installed, if you choose “Save As” from your File menu in any of your Office programs, you’ll see the following option is now available ...

Note that “Save As” and “PDF of XPS” are highlighted. Forget about XPS. It’s a fancy new file format that Microsoft are trying to introduce, but hardly anyone uses it. However, because almost everyone uses PDF formatted files, this option will soon become your best friend!

Choosing this option will allow you turn any Office document into a PDF and save it to a location of your choice on your hard drive. BUT .. there is an even better way when working with EzyFAX.

In the following image you’ll note that, rather than choosing “Save As”, we’ve selected “Send” and “Email as PDF Attachment” ...

Choosing this option will allow your newly created PDF to be automatically attached to an email on choosing OK or Publish.

Once your PDF is created, a new email will automatically open and will look something like this ...

Notice that the name of the PDF file is now the subject of the email. This is something we need to change.

To send a fax using the EzyFAX facility, it’s now as simple as addressing the email to  This e-mail address is being protected from spambots. You need JavaScript enabled to view it  and changing the subject to the fax number you’re sending to, including the full area code.

Now it’s simply a matter of clicking “Send”.  This email will be received by our system, and a notification will be sent to you that your fax document has been accepted. That will look something like this ...

Make sure you click on the link in the email, otherwise your fax will NOT be sent.





Once you’ve done that, a browser window will open and the system will report to you that the fax is now scheduled to send ..

.. and the good things is, the system will keep trying to send your fax until it’s done so successfully.




When it has successfully sent the fax, and has received confirmation that from the fax machine at the other end that it’s been received, the EzyFAX system will then send you another email to confirm it’s been received by the other party.

Maximum e-mail size:  100Mb

Maximum number of files per composed fax:  10

Maximum number of fax recipients:  50


.. and that’s it!  You’re now good to go with the EzyFAX system. there three more things you should remember.
